Terms of Service

These Terms of Service ("Terms") govern your access to and use of the VetGenius mobile application, web application, and related services (collectively, the "Services"), provided by H2M.AI BV, a Belgian private limited company with registered offices at Groenveldlaan 31, 1860 Meise, Belgium, VAT BE 1022.667.337 ("H2M.AI", "we", "our", "us").

By creating an account, accessing or using the Services, you agree to be bound by these Terms. If you do not agree, do not use the Services.

VetGenius is a software-as-a-service platform for veterinary practice management. It provides scheduling, consultation workflows, customer and animal records, invoicing, stock and controlled-substance management, communication tools, and AI-assisted decision support, among other features.

The Services are intended exclusively for use by licensed veterinary professionals and their authorized staff in the operation of a veterinary practice.

You must provide accurate, current, and complete information when registering for an account. You are responsible for safeguarding your credentials and for all activities that occur under your account. Notify us immediately at support@vetgenius.ai of any unauthorized use.

You must be at least 18 years of age to create an account.

You agree not to:

• Use the Services for any unlawful purpose or in violation of veterinary regulations applicable in your jurisdiction;
• Attempt to reverse-engineer, decompile, or otherwise extract source code from the Services;
• Resell, sublicense, or commercially exploit the Services without our written consent;
• Upload malicious code, attempt to disrupt the Services, or probe for vulnerabilities without authorization;
• Use the Services to store or transmit data that infringes the rights of any third party;
• Share account credentials with users outside your authorized clinic organization.

You retain ownership of all data you input into the Services ("User Content"), including clinical notes, animal records, client information, photographs, and audio recordings. You grant H2M.AI a limited, worldwide, royalty-free license to host, process, and display User Content solely as necessary to provide the Services to you.

Your clinic is the data controller for personal data of clients and pet owners within your VetGenius workspace. H2M.AI acts as a data processor under our Data Processing Agreement, which is incorporated into these Terms by reference. See our Privacy Policy for details.

VetGenius includes AI-assisted features that produce suggestions, transcriptions, and summaries to support — not replace — veterinary judgment.

All clinical decisions, diagnoses, prescriptions, and treatment plans remain the sole responsibility of the licensed veterinary professional. AI outputs may contain errors, omissions, or biases. You must independently verify any AI-generated information before relying on it for animal care.

H2M.AI makes no representation that the Services constitute veterinary advice or a substitute for professional veterinary judgment.

Access to the Services may require a paid subscription. Subscription terms, pricing, and billing cycles are specified in a separate commercial agreement or in-app order form. Fees are non-refundable except as required by law or as explicitly stated in your subscription terms.

We may revise pricing for renewal periods upon at least 30 days' prior notice.

The Services, including all software, designs, trademarks, text, graphics, and AI models, are owned by H2M.AI or its licensors and are protected by copyright, trademark, and other intellectual property laws. Nothing in these Terms grants you any right in our intellectual property except the limited right to use the Services in accordance with these Terms.

To the maximum extent permitted by law, the Services are provided "AS IS" and "AS AVAILABLE" without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, non-infringement, accuracy, or uninterrupted availability.

To the maximum extent permitted by law, H2M.AI's aggregate liability arising out of or in connection with the Services shall not exceed the fees you paid to H2M.AI in the twelve (12) months preceding the event giving rise to the claim. H2M.AI shall not be liable for indirect, incidental, consequential, special, or punitive damages, including loss of profits, data, or goodwill.

Nothing in these Terms excludes liability for gross negligence, willful misconduct, or fraud.

You agree to indemnify and hold H2M.AI harmless from any claims arising from your User Content, your use of the Services in violation of these Terms, or your violation of applicable law or third-party rights.

You may terminate your account at any time by written notice to support@vetgenius.ai. We may suspend or terminate your access immediately for material breach of these Terms, non-payment, or risk of harm to the Services or other users.

Upon termination, you may export your User Content for 30 days; thereafter we will delete it in accordance with our Privacy Policy.

We may modify these Terms from time to time. Material changes will be notified by email and in-app notification at least 30 days before they take effect. Continued use of the Services after the effective date constitutes acceptance.

These Terms are governed by the laws of Belgium, without regard to its conflict-of-laws principles. The courts of Brussels, Belgium have exclusive jurisdiction over any dispute arising out of or in connection with these Terms, subject to any mandatory consumer protection laws applicable to you.
